Seeking a Receptionist / Bookings Secretary

for our Busy Charity Retreat Centre

 

Hours of Work:   08:45hrs – 15:15hrs and 8:45hrs – noon on Saturdays   (times are slightly flexible)

                              Average 28hrs per week, including every alternate Saturday morning                                 

Rate of Pay: £12 - £14 per hour based on experience

 

We are looking for a Receptionist/Bookings Secretary to manage our busy front desk daily and to perform a variety of administrative and clerical tasks.

You will be the first point of contact for our Retreat Centre. Duties include administrative tasks along with welcoming guests and greeting people who visit our centre. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

​

You should have a warm, patient, and friendly personality for this important customer service role. Objective thinking, initiative taking, multitasking, and working under pressure are essential skills.

Ultimately, the Receptionist is a key role ensuring the front desk welcomes guests positively whilst also executing all administrative tasks to the highest quality standards.

 

Responsibilities

  • Greet and welcome guests as soon as they arrive at the centre.

  • Answer, screen, and forward incoming phone calls.

  • Ensure reception area is tidy and presentable, with relevant information readily available.                   

  • Provide basic and accurate information both face-to-face and via phone/email.

  • Receive, sort, and distribute daily mail and deliveries.

  • Maintain office security and controlling access via the reception.

  • Order front of office supplies.

  • Update calendars and schedule meetings.

  • Perform other clerical duties such as filing, photocopying, scanning, record keeping.

 

Requirements and skills

  • Proven work experience as a Receptionist, Front of Office, or similar role.

  • Professional, friendly, attitude and appearance.

  • Excellent customer focused manner.

  • Proficiency in Microsoft Office Suite.

  • Proficiency in Booking Systems.

  • Hands-on experience with standard office equipment.

  • Solid written and verbal communication skills.

  • Ability to be resourceful and proactive when issues arise.

  • Excellent organizational skills.

  • Multitasking and time-management skills, with the ability to prioritise tasks.

  • Recognised Qualification in Office Skills desirable.
